  • Account & Contact Information: Full name, email address, phone number, and authentication credentials.
  • Service Report Data & Digital Signatures: Work details, equipment notes, site contacts, client details, and customer signatures collected for service confirmation.
  • Photos and Images: Photos captured using your device camera or selected from your gallery to attach as evidence or visual documentation for service reports and preventive maintenance tasks.
  • Location Data: Geographical coordinates (GPS location) used to identify service job site locations and assist in site navigation.
  • Device & Technical Information: Operating system version, app version, network status, and unique device identifiers for offline synchronization and app functionality.

3. How We Use Your Information

We use the collected information for legitimate operational purposes, including:

  • To generate, manage, and deliver field service reports and preventive maintenance schedules.
  • To authenticate users and enforce access control permissions.
  • To attach visual documentation (photos) to service reports for audit trails and customer reference.
  • To enable offline data queuing and automatic synchronization when an internet connection is established.
  • To communicate automated email notifications and PDF report copies to clients and administrators.

4. Data Storage and Security

We prioritize the security of your data. All communication between the Team Reports app and backend servers is encrypted in transit using industry-standard Transport Layer Security (TLS/HTTPS). Data is stored securely in enterprise cloud databases with strict Row-Level Security (RLS) policies.

5. Data Sharing and Third Parties

We do not sell, trade, or rent your personal information to third parties. We share data only with trusted infrastructure providers required to operate the app (such as cloud hosting and database infrastructure).

6. Data Retention and Account Deletion

We retain personal data for as long as your account remains active or as required to fulfill service reporting obligations.

Account & Data Deletion Requests: Users may request the complete deletion of their account and associated personal data at any time by contacting us at support@teamreports.ai. Upon receiving your request, we will delete your account and personal data within 30 days.

7. Children's Privacy

Team Reports is designed exclusively for enterprise and business field service operations. We do not knowingly collect or solicit personal information from individuals under the age of 18.
